There may or may not be written instructions available. These setups are often found as part of larger events, serving as delightful take-home favors or an extra touch of elegance. Think weddings, corporate gatherings, or bridal showers.
  2. Instructional + Product Offering: This version kicks things up a notch. With a professional floral expert available, you’ll receive hands-on guidance and insider tips as you craft your bouquet. These events can range from structured lessons before diving in, to casual assistance throughout the process. This type of offering typically serves as the centerpiece of the event, requiring additional time and resources to ensure a memorable experience. These gatherings are popular choices for birthday celebrations, fundraisers, or simply as a fun and engaging activity for any occasion! It’s not unusual for hosts to organize ‘Flower Bar Parties,’ where the primary goal is to learn the art of designing and crafting beautiful floral arrangements.

In this post, my emphasis will be on the latter option. While both demand meticulous planning and preparation, hosting an event where the bouquet bar takes center stage requires particular attention to detail to ensure a flawless party experience.

DIY Vs. Professional Flower Bar

Let’s break down the differences between a DIY flower bar and a professionally-led one:

DIY Flower Bar:

Disadvantages:

  1. Limited Expertise: Without expert advice, you may feel unsure about design techniques and flower care, leading to challenges in sourcing flowers and tools. Estimating the types and quantities of flowers needed can also be more challenging.

  2. Casual Atmosphere: DIY bars often have a relaxed vibe, perfect for socializing and experimenting with floral arrangements.

Purchasing bulk flowers is a great way to save money and ensure you have plenty of blooms for your bouquet making party or event. Here’s how to go about it:

  1. Research Flower Availability: Determine which flowers are in season and available in bulk quantities at the time of your event. Seasonal flowers are typically more affordable and have better quality.
  2. Source Your Flowers: Look for grocery stores, flower farms or wholesale flower suppliers in your area or online that sell flowers in “bulk.”
    • Grocery Stores- While grocery stores offer convenience, it’s advisable to explore other options for fresher and more cost-effective blooms. Grocery store flowers are often imported and marked up multiple times before reaching customers. However, if you must use a grocery store, inquire about purchasing flowers in bulk before they are arranged into individual bouquets to potentially save both time and money.
    • Wholesaler: Wholesale flower suppliers provide a vast selection of flowers at discounted rates when bought in bulk. However, the majority of wholesale flowers are imported and have traveled a long way and many days to get to you and hence are not as fresh. On the flip side, wholesalers can often offer varieties of flowers that are “out of season” because they are grown in more temperate environments (think Peonies in October). While some wholesalers may require a business tax ID, it’s worth exploring this option for a wide range of choices.
    • Flower Farms: Local flower farms are an excellent choice for obtaining bulk flowers of the highest quality and freshness. While it may require some research, most farms are willing to sell directly to customers without the added markup. Flower farms offer seasonal varieties, ensuring the freshest blooms, and often provide unique options unavailable elsewhere, such as delicate Dahlias.
  1. Consider Quantity: Estimate the number of flowers you’ll need based on the size of your event and the number of arrangements you plan to make. It’s best to order in THIRDS: 1/3 Foliage, 1/3 Filler, 1/3 Focal. NOTE: this is a guideline and quantities will vary based on many factors including vessel type, flower type and stem size. Also, make sure to account for breakage and loss. Party-goers can be rough on stems while getting them in/out of buckets and attempting arrangements. It’s a good idea to order 15-20% more than you think you will need. Keep in mind that it’s better to have a little extra than to run out.

  1. Place Your Order: Contact your supplier of choice to place your order 5-7 days ahead of time. Provide them with information about the types and quantities of flowers you need, as well as any specific requirements or preferences you have.
  2. Source Buckets: Sometimes the supplier will give or lend buckets for holding the flowers in, but often they will not. You will need many large floral buckets on hand for holding your flowers. Sometimes local grocery stores give them away for free, so it’s worth asking around. You can also purchase from an online retailer such as Johnny’s. I recommend filling buckets only to HALF capacity with flowers. If they are overstuffed, it will be difficult for your attendees to pick stems out. A typical 10L (2.6 gallon) floral bucket holds about 60 stems on average, so consider getting 1 bucket per 30-40 stems.

NOTE: You can use Home Depot paint buckets or cheap dollar store trash cans if you are in a pinch. However, the Home Depot buckets may be too tall for some of the florals and the trash cans may be top heavy. Choose wisely!

    1. Arrange Delivery or Pickup: Arrange for the flowers to be delivered to your location or schedule a pickup time if you’re able to transport them yourself. Make sure to confirm the delivery or pickup details in advance.
    2. Inspect & Prep the Flowers: Upon receiving the flowers, inspect them carefully to ensure they are fresh and in good condition. Remove any damaged or wilted blooms before arranging them. Flowers should come “prepped” but if they are not, check out this great pictorial post from Triangle Nursery on how to process and condition cut flowers. Don’t forget to clean buckets thoroughly. This is an important step that is often overlooked!
    3. Store the Flowers Properly: Store the flowers in a cool, dark place away from direct sunlight and heat until you’re ready to use them. Do not store with or by fruit and vegetables as they can release ethylene which decreases vase life of flowers. Keep them hydrated by placing the stems in water or using floral holding solution such as Chrysal Professional 2 Transport & Display Solution.
